Leadership Learning Academy PTO Board Meeting Minutes 

Date: Thursday, November 19th, 2015

Called to order by: PTO President Stacie Tuttle at 6:09 pm

I. Financial Reports
  
A.    Financial Report was printed and turned into PTO President Stacie Tuttle but was lacking details on transactions, receipts and needs  clarification from date of PTO turn over ( July 1st 2015 until present date)

B.   Also our current PTO Treasurer stepped down and we are needing to find a replacement ASAP

II. Discussed having a Dual Treasurer Position

A.    PTO decided to continue with a solo Treasurer Position

III.  Additions to Bylaws

    A. PTO discussed/clarified Bylaws and possible additions, No Additions we agreed upon or suggested for voting. 

IV. Red Ribbon Week Lessons Learned

A.    Reported that Red Ribbon Week was a Success

V. 5K Homecoming Dash Fun Run Earnings and Lessons Learned

A. No earnings were reported due to lack of detail in the financial report and lack of Treasurer. 5K Chair person did add a suggestion of one person in charge of registration collection to prevent miss placed shirts on 5k shirt pick up date.
VI. Dollar Dress Down Day Earnings

No earnings were reported due to lack of detail in the financial report and lack of Treasurer

VII. Book Fair Earnings and Lessons Learned

A.    Book Fair was reported to be successful and suggestions were made to hold next one in spring absent of PTC for the dates of Feb 29th 2016 – March 4th 2016. No earnings were reported due to lack of detail in the financial report and lack of Treasurer

VIII. Fall Festival Earnings and Lessons Learned

A.    Suggested that Money boxes for each station be kept separated and be counted down to the volunteer as well as counted down when volunteer turns in along with sales inventory and sign off. This would help with any error in charges as well as collections and give a better detail in the success of an event.

B.   Currently PTO President reports a $40.00 earnings but No detailed earnings were reported due to lack of detail in the financial report and lack of Treasurer.

C.   Fall Festival Committee found an error from the Custom Events Invoice in which the President is currently working with them to have  this corrected.   

IX. Veterans Day Breakfast Lessons Learned

A.    Reported that it was a great success and that more than enough food and supplies were donated leaving so much extra that all left overs were sent up to our local Hill AFB and distributed.

B.   It was suggested that we have an earlier start time or 7 am or 7:30 am to both allow those that work to attend as well as have ceremony start on time and have students back to class for school to start.

X. Increasing Volunteers both in school and with PTO events

A.    When sending information to be posted about the need for volunteers it would help to have better clear communication on exactly what is need such as How many Volunteers, Where you will need them, When and for how long you will need them, What they will be doing etc.

B.   Also suggested that we reach out and make sure our parents know that they can earn hours by babysitting for another parent who comes to volunteer and that 5.00 worth of donation equals 1 hour.

C.   Suggested at Major Events offering families that volunteer one free pass per family to enter. This was NOT voted on yet.

XI. Winter Concert

A.    Jessie Jenkins reported only getting one Volunteer so far, and that we only have two clubs that can really present a show for the Winter Concert on what they have learned.

B.   It was discussed that it would maybe be a better idea to do an assembly at the school and cancel the Winter Concert. Jessie Jenkins is going to discuss with the Club Head Personal and report back to the PTO. This was NOT voted on yet.

XII. Box Tops and Coke Rewards

A.    Michelle Metcalf is POC on the Box Top collection, She will be collecting all Box Tops and counting them class with the most box tops on the lower level and the class with most box tops on upper level will both win a popcorn party. Results will be reported and announced at the return of school from Thanksgiving Break.

I. Back to School Night Review (Stacie Tuttle)
  
  1. The back to school night table was a success bringing in 2.5 pages of potential volunteers for the school. 

  1. Also the hand print volunteer reminder magnets were very helpful and we have plenty left over to use again for our 2016 back to school night.

II. Chick-fil-a Spirit Night (Laura Jamison)

  1. Nicole Stucki and Laura Jamison volunteered for Chick-fil-a Spirit night, Laura reported that it went well and that two volunteers were enough to cover the volunteering need.
  2. Chick-fil-a Spirit Night brought in total of $213.00 funds raised making a very successful event.

III. PTO Positions (Stacie Tuttle)

    A. Stacie Tuttle PTO President reported that all PTO Positions have been filled

IV. Dartside Fundraiser (Trish Thomason)

  1. Trish Thomason talked with Dartside and have set up to do a Fundraiser the first week of October. Dartside has offered to have a 1.00 discount to LLA school members all week long as well as give 25 % of sales donation with you mention you are with LLA on their normal business days of Monday Thursday and Friday that first week in October. Dartside will also open on Tuesday October 6th and Wednesday October 7th for our school LLA only from 4pm – 9pm offering the 1.00 discount as well as 25 % of sales will be donated to the school and the last 15 mins of every hour they will do black light play.

  1. Trish Thomason suggested trying to get teachers to sign up to come by to take part in the fun. A couple teachers every hour allowing the lower grade level teachers to get the earlier hours. Teachers fee to get into Dartside will be waived.

  1. Sign up sheet for teachers along with email to notify all teachers where to sign up was discussed as well as sending out flyers by September 30th 2015 one week prior to start of the event.

V. Red Ribbon Week (Stacie Tuttle on behalf of Nicole Stucki)

  1. Monday September 28th 2015: Band Together to be Drug Free

-Wear Red, Have students pledge to be drug free, & decorate teachers doors

  1. Tuesday September 29th 2015: Team up against drugs

-Wear a team jersey to school

  1. Wednesday September 30th 2015: We are CRAZY about being drug free

-Wear crazy hair and /or crazy socks

  1. Thursday October 1st 2015: Give drugs the boot

-Wear boots to school

  1. Friday October 2nd 2015: I’m too Bright for drugs

-Wear bright colors and children will come home with flyer and mustache that will  read: I Mustache you to stay drug free

-This was suppose to be college shirt day, but it was decided to skip it

VI. 5K Homecoming Fun Run (Arlene Nunz)

  1. Discussed the need for 7 tables to be available for set up, donation personal, and aid stations

  1. Expressed the concern for more volunteers needed and President of PTO stated she would talk to student council to seek help with filling the needed volunteers.

VII. Fall Festival (Lisa Bradbury)

  1. Discussed the dates for the Fall Festival that was originally set on the 29th of October but due to the book fair and Parent teacher conferences being on the same day the PTO board agree to move the Fall Festival date to the 30th of October and time of 530 pm-830 pm.

  1. Melissa Reese and Rachel Dugan are the Fall Festivals Committee chair persons and discussed the business they found with us called Custom Events. Custom Events did not require a deposit, and will come set up and take down all Fall Festival festivities. The cost for Fall Festival admission would be 10.00 ticket a person with out food or 12.00 ticket a person with food. The school would receive 20 percent of all sales.

  1. Discussed the need for volunteers for the Fall Festival and it was agreed on that  20 volunteers would be needed. PTO President was to get copies of volunteer sign up sheets to Melissa to start recruiting help.

  1. Discussed doing a silent auction and it was agreed that due to the lack of success of last years silent auction that we would not do a silent auction this year.

  1. Discussed that attendees would be allowed to attend the Fall Festival dressed up but that it can not be scary, can not have weapons, and no masks will be allowed.

I. Vote on Bylaws
  
    A. All voted in favor of the new Bylaws which added in the following to  Article V: Section 4 to include: Spending- The Funds raised by the Organization shall be used for programs, events, and items that directly benefit the students of the school; with the exceptions of Teacher appreciation events.

II. Vote on Budget

    A. All voted in favor of the 2015-2016 Budget changes which include the removal of Snack Fridays and the 501c. 

   B. Confirmed that the Movie License was PAID by school

III. Fundraising

    A. Suggestion for Dartside Fundraiser was discussed in which discounted tickets would be offered along with 25% in sales for customers that mention LLA. Looking into setting dates for the first week of October 5th-9th for this fundraiser. Only 50 people max allowed in area at one time making multi-day fundraiser a better option and looking to see if we can advertise outside or out front that it is a LLA fundraiser.

    B. 5K with a set date of September 25th 2015 has a theme of "Homecoming Dash”. Wear your favorite sports team jersey or cheer wear. Need to confirm reserved location of Jensen Park in Syracuse Utah. It was decided that no shirts will be ordered for the run but that Spirit shirts will be sold instead. An Advertised “Pre-Run Tailgating” was suggested where attendees, and family could buy shirts, eat, and get face painting done. Discussed food tickets with those that have pre-registered before the day of the 5k event (September 15th 2015), adding that those who register/sign up the day of would be FCFS on food served. Food served was discussed and a suggestion of food trucks and possible percentage of sales from the food trucks going back to LLA in which case we would not need food tickets. If food trucks are not an option hotdogs and chips were a back up food plan.

IV. Spirit Night at Chickfila

   A. Chickfila is requesting that we provide 2 individuals from LLA to help with customers, and dining area. They ask that those individuals that will be assisting in the restaurant NOT wear Jeans or T-shirts. LLA will receive 20 % of all sales for dine in as well as drive through orders from 5pm- 7pm on September 15th 2015

V. Back to School Night

   A. LLA PTO Presidents plan to have a table set up sign up sheets as well as hand print maginets to fill in Volunteer dates that each family has signed up for as reminder.

   B. Each class room with have a sign up sheet for those interested in a Class Captain position, and sending an email out to inform families of the opportunity was discussed as well.

VI. PTO Postions that need to be filled

   A. Secretary Position was filled by Lisa Bradbury, We have a few individuals who have shown interest in the Position of Treasurer, and still looking for individuals to fill both Student Life Coordinator and Fundraising Event Coordinator Positions.

VII. Added/Changed Dates

   A. LLA PTO added College shirt day be the First Friday of every month starting September 4th 2015.

   B. Classic Skate Night was updated/changed to March 8th 2016 from 5pm-9pm

An open PTO board meeting will be held on July 25 at Leadership Learning Academy at 7:00 p.m. At this meeting, the board will be introduced and committees will be formed for the events throughout the year. Each board member in need of a committee will email jenwitte3@gmail.com with their agenda item no later than 7/18. We will close the meeting with an open forum in which Heidi will also be in attendance.
